Who is payment made payable to and where do I mail the check?

Can I pay by credit card?

We do not accept credit cards at the present time. Only cash, checks, or wire transfer are acceptable forms of payment. Please make all checks payable to NCDVD

Can I pay by International Wire Transfer?

Yes, the National Office now accepts International Wire Transfers. If you would like to take advantage of this, please e-mail [email protected] to ask for the correct information.

What does the convention registration fee include?

The fee includes:

  1. Meals (as specified on schedule)
  2. Admission into Keynote presentations
  3. Daily workshops (NOTE: Additional fee for Saturday – Monday workshops)
  4. Admission into the Exhibit Hall
  5. Nightly Hospitality, including an open bar.
  6. Transportation from Portland International Airport (PDX) to the Hilton Vancouver in Vancouver, Washington.
Will there be on-site registration for the convention?

On-site registration is extremely limited. It is highly recommended that you register prior to arriving at the conference. There is a $200 extra registration fee for registration made after August 1, 2019, or if paid onsite.

I forgot to print a copy of my registration to include with my payment?

Please be sure to include a copy of your registration with your payment. You should have received a copy via email after you registered. You can contact us at the National Office [email protected] for a copy of your registration or simply indicate in a note with your check what the payment is for, and who it is for.

How do I make changes to my registration?

Contact the National Office at [email protected] with your updated information.

How do I add/change my transportation information?

Contact the National Office at [email protected] with your updated information.

Is there any fee for transportation from the airport to the hotel?

No, it is compliments of NCDVD and Region 12.

How do I find my driver when I arrive at the airport?

We’re very grateful to Region 12 for their willingness to provide transportation for this event. In order to take advantage of this program you MUST provide us with your cell phone number. One week prior to the convention, we will contact you with the contact information for your specific driver. When you arrive at the airport you will text your driver and they will meet you near Peet’s Coffee which is by baggage claim. Any changes/cancellations or if you’re unable to reach out to your driver please contact the National Office at (631)-645-8210.

How do I reserve a seat for the return shuttle on Friday?

Please indicate on your registration form which shuttle you will be taking. Any questions or updates please contact Shannon at [email protected]

I am leaving the conference early, how can I get back to the airport?

NCDVD will be providing return transportation ONLY  on Friday, August 30th. The hotel’s Front Desk will be happy to assist you in getting a taxi to the airport for other times.

Do I need to make my hotel reservations separately?

Yes, please see the Hotel Registration link on the NCDVD Convention page to make your reservations. We highly recommend that you make your reservations as quickly as possible. Please note the room rate is only honored until August 2, 2019 or until the room block runs out, whichever happens first.

What is the room rate for the Hilton Vancouver?

$199 a night plus taxes and fees.

I am driving my own car, how much is it to park at the hotel?

Please note, these prices are subject to change so we highly recommend you communicate directly with the Hilton at 1-360-993-4500.

Valet parking is $25 a day and self parking is $20 a day.

Do priests need to bring their own alb and stole?

Yes please bring your own alb and stole. Coat racks will be provided in the Chapel area should you choose to leave your alb there for the week.

What is the dress code for the convention?

Business casual. Priests are asked to wear clerical dress for the keynote presentations and the closing banquet.

Will copies of the talks/workshops be available following the conference?

It is the policy of NCDVD not to record our presenters.

Exhibitor Questions

What is the size of the exhibit space?

Exhibitors use table tops NOT booths. Tables are typically 72”x30”, draped, with two chairs.

How much does a table cost? How much is a 2nd table?

The cost of the first table is $400.00, and the second table is $150.00. NOTE: the number of “2nd tables” are very limited. Every effort is given to assure at least one spot per exhibitor before second tables are assigned.

How many of my representatives need to register for the convention?

ALL representatives who will be attending convention need to register at the member rate of $495.00. NOTE: With your required registration, you are entitled to attend keynotes, workshops, meals and nightly hospitality and airport transportation, (as noted in our Transportation Section)

How do I ship materials to the conference?

NCDVD will NOT be handling any of the shipping of materials to/from the conference. To ship materials, please contact the Hilton Vancouver at +1-360-993-4500.

How much will electricity cost for exhibitors?

If you wish to take advantage of this service, please contact the Hilton Vancouver at +1-360-993-4500.

How much will the Internet fee be for exhibitors?

If you wish to take advantage of this service, please contact the Hilton Vancouver at +1-360-993-4500, as there will be complimentary wifi in your room but not on the exhibitor floor.

When can exhibitors set-up/take down?

All exhibitors can begin set up at noon on Sunday, August 25. Exhibitors are asked to break down prior to 4:00 PM on August 29, 2019.

As a sponsor I am entitled to a complimentary exhibit table; do I still need to register the table?

Yes. Please register as an exhibitor, ignoring the fee request. Second tables for a sponsor would cost $400.
