Who is payment made payable to and where do I mail the check?
Please make all checks payable to NCDVD.
Please be sure to note whose registration the payment should be applied to.

Can I pay by credit card?
Yes, a link was included in your registration form. Should you need the link a second time, please contact us at: events@ncdvd.org and we will send it to you. Please note that all credit card payments incur a 3% processing fee.
Can I pay by International Wire Transfer?
Yes, the National Office accepts International Wire Transfers. If you would like to take advantage of this, please e-mail office@ncdvd.org to ask for the correct information.
What does the Conference registration fee include?
The fee includes:
* 3 Meals per day & Snacks as specified on schedule
Note: breakfast WILL BE included this year.
* Nightly Hospitality
* Accommodations
* Admission into Keynote presentations and daily workshops.
NOTE: There are additional fees for the Vocare Institute and the Monday Pre-Con workshops.
* Admission into the Exhibit Hall
* Free Shuttle bus for dinner into downtown Huntington on Tuesday evening, August 29, 2023.
* Excursions options on Wednesday.
Note registration is required and space is limited.
How is the pricing structured?

* If you are attending the Institute and want to attend Monday’s Pre-Convention Workshop, please note that the Institute will run through Monday at 4:00 p.m. To attend the Pre-Con Workshop you would need to register for that separately.
** Package includes Vocare Institute Workshop and the Convention. It does NOT include the Pre-Convention Workshop.
*** Pre-Con workshop is an add-on and needs to be registered for separately.
Will there be on-site registration for the convention?
On-site registration is extremely limited. It is highly recommended that you register prior to arriving at the conference. There is a $200 extra registration fee for any registration made after August 4, 2023 or if paid on site.
I forgot to print a copy of my registration to include with my payment.
If paying by check, please be sure to include a copy of your registration with your payment, (or note whose registration the funds should be applied to in order that we can credit your account properly).
You should have received a copy of your registration via email after you registered. You can contact us at the National Office events@ncdvd.org for a copy of your registration.
How do I make changes to my registration?

Why are you asking for my transportation information?
Although we do NOT provide transportation TO/FROM the airport, or train station, we ask you to let us know your transportation information in order that we have a sense of your arrival time to welcome you. If you are arriving AFTER 10:00 pm you must notify the National Office 631-645-8210 to gain entrance into the building.
How can I get from the airport to the Retreat Center?
For more information please refer to the transportation section of the convention website. Transportation can be done via 3 area airports and through the Long Island Railroad, or via a taxi or other lift provider.
Do I need to make my hotel reservations separately?
Accommodations at the Retreat Center are included in your registration. The Center has 210 rooms. Should you register late and there are no rooms left, or if you choose to not stay at the Retreat Center please note that there is no discount as our fees are based on an all-inclusive rate.
What is the closest hotel in the area?
Hampton Inn is a 10-minute car ride to the Retreat Center Reservations for the hotel must be made separately and there is no group rate.
What are the accommodations like at the Retreat Center?
Guest rooms are simple Seminary style rooms with one twin bed, desk and dresser. Rooms include a private bathroom with Shower.
Upgrade to a Larger Room: There is an extremely limited number of rooms which offer one Queen or one Double bed. There is an additional $50 per night fee for these rooms. If you are interested in upgrading to the larger room please contact us at the National Office.

Is there Recreational Facilities at the Retreat Center?
The center is situated on 200+ acres of waterfront property and has numerous walking trails.
There is a large indoor baseball court, and gym. There is also a softball field.
We are also located just a mile from the NYS Caumsett State Historical Park Reserve https://parks.ny.gov/parks/23/details.aspx and Huntington Beach https://www.huntingtonny.gov/beaches

Check-in 1:00 p.m.
Check-out Noon.
IMPORTANT: If you are arriving BEFORE 7:30 a.m. or AFTER 10:00 p.m. you must notify the National Office 631-645-8210 to gain entrance into the building.
Is there a discounted rate on my registration if I choose to stay at a hotel?
We do not offer a discount for those not staying at the Retreat Center as the package price is an all-inclusive package.

I am driving my own car, what is the parking availability?
The center has a small parking lot in front of the building which you may use to drop your bags and check in with the conference. After, we ask that you park in the visitor parking lot around the side of the building. There is no fee for parking.

Do priests need to bring their own alb and stole?
Yes. Please bring your own alb and stole. Coat racks will be provided in the open area of the Crypt Chapel, located on the lower level beneath the Main Chapel, should you choose to leave your alb there during the week.
What is the dress code for the conference?
Business casual. Priests are asked to wear clerical dress.
Will copies of the talks/workshops be available following the conference?
It is the policy of NCDVD not to record our presentations. However, if a presenter so chooses, copies of PowerPoints and handouts will be made available on the NCDVD website under the member resource tab. You must be a member of NCDVD to access these resources.

Exhibitor FAQs
What is the size of the exhibit space?
Exhibitors use tabletops NOT booths. Tables are typically 53”x30” approx., with two chairs.
How much does a table cost? How much is a 2nd table?
- $1,770 includes one standard table and one Convention pass and 5 nights accommodations (Checking -in on Sunday, August 27th and Checking-out on Friday, September 1st).
- A second table is $150.
- Additional passes may be purchased at the Members Rate of $1,370. These rates include accommodations, Checking -in on Sunday, August 27th and Checking-out on Friday, September 1st
- Exhibitors may supply a brochure, or promotional item to be included in a Swag Bag which will be offered to each participant at conference check-in. If interested in including information in the Swag Bag, Exhibitors must contact NCDVD at executive@ncdvd.org.
- NCDVD reserves the right to approve/deny any Exhibitor from participating in this event.
Does my Exhibitor Fee include accommodations?

To RETURN your packages please note that the Retreat Center does NOT have a mail room staff so you would need to make arrangements with either UPS or FedEx.
When can exhibitors set-up/take down?
All exhibitors can begin set up at 9:00 a.m. on Sunday, August 27th. Exhibitors are asked to break down prior to 4:30 PM on Thursday, August 31st. If you would like to set up on Saturday please contact executive@ncdvd.org
As a sponsor I am entitled to a complimentary exhibit table; do I still need to register the table?
Yes. Please register using the Sponsor Registration link which was provide to you with your MOA.
NOTE: Second tables for a sponsor would cost $400.
